The onboarding journey begins in pre-onboarding and seamlessly transitions to onboarding. Here's how the complete flow works:
How Candidates Enter Pre-Onboarding Candidates enter pre-onboarding in two ways:
- Automatically from Recruitment: When a candidate is moved to "Hired" status in the recruitment pipeline, they automatically appear in Pre-Onboarding > Candidates
- Manually Added: An administrator or HR specialist can manually add candidates to pre-onboarding using the "Add Candidate" button
Pre-Onboarding Phase
- Navigate to Pre-Onboarding > Candidates
- Assign a pre-onboarding template to candidates
- Candidates receive a secure link to complete tasks, upload documents, and sign offer letters
- Track progress: By default, the list shows only "Active" candidates (Not Started and In Progress). Completed and cancelled candidates are hidden unless explicitly selected in the status filter
- Documents uploaded during pre-onboarding are automatically preserved
Transitioning to Onboarding
- Once pre-onboarding tasks are complete, HR reviews and approves
- Click "Complete & Create Employee" to finalize pre-onboarding
- The candidate automatically transitions to onboarding
- All documents and progress from pre-onboarding are preserved and linked to the employee
- The employee now appears in Onboarding > Employees
Assigning Templates in Onboarding
- Navigate to Onboarding > Employees
- Click "Assign Template" or use the 3-dot menu on an employee
- Select one or more employees
- Choose the appropriate onboarding template
- Click "Assign"
The system will automatically create tasks for the employee based on the template.
Tracking Progress
- View all employees currently onboarding
- By default, the list shows only "Not Started" and "In Progress" employees. Completed employees are hidden unless explicitly selected in the status filter
- See completion percentage for each employee
- Monitor which tasks are completed, pending, or overdue
- Filter by department, status (multiselect), or search by name
- Access complete historical data for any employee across pre-onboarding, onboarding, and offboarding phases
Employee View
- New hires see their onboarding checklist on "My Onboarding"
- Tasks are organized by type: Action tasks (checkboxes) and Document tasks (file uploads)
- Document tasks automatically render file input fields
- Employees can mark their tasks as complete
- System tracks overall progress percentage
- Once a document is uploaded, employees can view it and change it if needed
Supporting New Hires
- Manager Actions: Complete manager-assigned tasks promptly
- HR Actions: Ensure HR tasks (access, equipment) are done before day one
- Monitor Progress: Check in regularly on completion rates
- Provide Resources: Link to knowledge hub documents
- Move to Next Phase: Advance employees through onboarding phases when ready
- Document Management: Verify uploaded documents and mark them as verified
Bulk Operations
- Assign the same template to multiple employees at once
- Move multiple employees to the next onboarding phase
- Send reminders to multiple employees
- Track team-wide onboarding metrics
Status Filtering
- Use the multiselect status filter to view specific employee groups
- Default view shows "Not Started" and "In Progress" (excludes completed)
- Select "Completed" to view employees who have finished onboarding
- Filter combinations allow you to see exactly who needs attention
Best Practices
- Assign pre-onboarding templates as soon as a candidate accepts an offer
- Ensure manager and HR tasks are completed before the employee's start date
- Check progress regularly and provide support for stuck tasks
- Verify uploaded documents promptly
- Use status filters to focus on employees who need support
- Access historical data to understand an employee's complete journey
- Celebrate completion milestones to maintain engagement
