Careersome is developed by Wik Immersive, an African artificial intelligence and workforce technology company based in Nigeria. This Policy explains how Careersome handles personal information.

This Policy applies to our websites, accounts, support, and Careersome services. It explains what we collect, why we use it, who receives it, how long we keep it, and the choices available to you.

1. Our role

When an organization uses Careersome to manage candidates, employees, or workforce records, that organization usually decides why and how the information is used. Careersome processes that information for the organization under its instructions. The organization is the first contact for requests about those records.

Careersome decides how information is used for our website, account administration, billing, security, support, product communications, and direct relationships with individual users. For those activities, Careersome is responsible for the processing described in this Policy.

2. Information we collect

2.1 Information you or an organization provide

  • Name, email address, phone number, country, location, company, role, and account credentials
  • Billing, subscription, and transaction information
  • Candidate profiles, applications, resumes, interview records, assessments, notes, and communications
  • Employee profiles, emergency contacts, team structure, attendance, activities, timesheets, and time off records
  • Performance reviews, goals, feedback, engagement responses, development plans, journeys, and recognition
  • Compensation, benefits, and related workforce records entered by an organization
  • Prompts, files, instructions, feedback, and other content submitted to artificial intelligence features
  • Support requests, survey responses, and communications with us

2.2 Information collected automatically

  • Internet Protocol address, device type, operating system, browser, language, and approximate location
  • Pages, features, links, and actions used, with dates and times
  • Session, authentication, audit, security, crash, and diagnostic records
  • Cookie and similar technology information used for essential operation, preferences, security, and analytics

2.3 Information from other sources

We may receive information from an employer, hiring organization, authorized administrator, identity or sign in provider, payment provider, integration selected by an organization, public professional source, or service provider. If you use Google sign in, we receive identifiers and account information that Google makes available with your permission.

3. How we use information

  • Provide, personalize, maintain, and support the Service
  • Authenticate users and enforce workspace roles and permissions
  • Run recruitment, workforce, performance, engagement, time, compensation, analytics, and employee journey workflows
  • Generate rankings, summaries, predictions, recommendations, reports, and other artificial intelligence outputs
  • Process payments and administer subscriptions
  • Send service, security, support, and product communications
  • Detect abuse, fraud, unlawful activity, and security incidents
  • Debug, measure, and improve reliability, accessibility, safety, and user experience
  • Comply with legal duties, resolve disputes, and enforce agreements

4. Artificial intelligence and automated processing

Careersome uses artificial intelligence to assist with candidate matching, summaries, narratives, predictions, recommendations, drafting, and analytics. These features may process Customer Content and may send the minimum information needed to an approved artificial intelligence provider or a model operated for Careersome.

We do not use Customer Content to train a general purpose model for use by other customers unless the organization expressly agrees in writing. We may use aggregated or anonymous information to evaluate quality and improve the Service. We do not make a final employment decision solely through automated processing. Organizations and their authorized users are responsible for meaningful human review.

5. Legal grounds

Where applicable law requires a legal ground, we process information to perform a contract, follow an organization’s documented instructions, comply with law, protect legitimate interests in operating and securing the Service, and act with consent where consent is required. You may withdraw consent at any time, without affecting processing that was lawful before withdrawal.

6. How we disclose information

We do not sell personal information. We disclose it only as described here.

  • To authorized administrators, managers, human resources teams, reviewers, recruiters, and other workspace members according to permissions
  • To a hiring organization when a person applies for one of its roles
  • To hosting, storage, authentication, payment, email, monitoring, analytics, support, and artificial intelligence providers that help operate the Service
  • To integrations that an organization or user chooses to connect
  • To professional advisers, auditors, insurers, and transaction partners under appropriate confidentiality duties
  • To a public authority or another person when required by a valid legal process or reasonably necessary to protect rights, safety, and security
  • To another entity as part of a merger, financing, reorganization, or sale, subject to appropriate protection and notice where required

7. International processing

Careersome and our providers may process information in countries other than the country where it was collected. We assess providers and use contractual, organizational, and technical safeguards appropriate to the information and the destination. We support responsible and secure data flows consistent with applicable law and the African Union Data Policy Framework.

8. Retention

We keep personal information only as long as reasonably needed for the purposes described here. The period depends on the organization’s instructions, account status, contractual commitments, security needs, dispute periods, and legal obligations. When information is no longer needed, we delete it, make it anonymous, or securely isolate it until deletion is possible. Backup copies may remain for a limited period and stay protected.

9. Security

We use technical and organizational measures designed to protect information from loss, misuse, alteration, and unauthorized access or disclosure. Measures may include encryption, access controls, multifactor authentication, audit records, monitoring, secure development practices, provider review, backups, and incident response. No method of storage or transmission is completely secure.

10. Your rights and choices

Depending on applicable law, you may ask to know about, access, correct, delete, or receive a copy of your personal information. You may also object to or restrict certain processing, withdraw consent, question significant automated processing, or complain to a competent authority. We will not discriminate against you for exercising a privacy right.

If your information is held in an organization workspace, submit the request to that organization first. You may also contact us. We may verify your identity and authority before acting, and lawful exceptions may apply.

11. Children

Careersome is not directed to children and personal accounts require users to be at least eighteen years old. Organizations must not submit information about a child unless they have a lawful reason, appropriate authority, and safeguards for the relevant workforce or recruitment purpose. Contact us if you believe information was submitted improperly.

12. African digital rights principles

Our privacy and artificial intelligence governance takes guidance from the African Union Convention on Cyber Security and Personal Data Protection, the African Union Data Policy Framework, the African Charter on Human and Peoples’ Rights, and the African Union Continental Artificial Intelligence Strategy. We use their principles of dignity, fairness, privacy, security, transparency, accountability, inclusion, and meaningful human control to inform product and governance decisions. These instruments complement and do not replace mandatory law.

13. Changes to this Policy

We may update this Policy as our Service, technology, providers, or obligations change. We will post the revised Policy and update the effective date. We will provide reasonable additional notice of material changes where appropriate.
