- As a Project Management Assistant, you will help coordinate projects from initial planning through implementation, customer training, go-live, and post-implementation support.
- You will act as an important link between customers, developers, technicians, suppliers, and internal teams. You do not need to know everything on your first day - we are looking for someone who learns quickly, takes responsibility, communicates clearly, and maintains a positive attitude when solving problems.
- Assist in preparing project plans, timelines, task lists, and implementation schedules.
- Follow up with developers, technicians, suppliers, customers, and other project stakeholders.
- Track project tasks, deadlines, risks, dependencies, and outstanding customer requirements.
- Provide customers with clear and timely project updates.
- Maintain accurate project documentation, meeting minutes, action trackers, implementation checklists, and status reports.
- Organise customer onboarding, system demonstrations, training sessions, testing, and go-live activities.
- Help collect, verify, and organise customer information required for system setup and implementation.
- Coordinate the escalation and resolution of implementation and customer-support issues.
- Conduct regular follow-ups after go-live to confirm that customers are successfully using the system.
- Assist in testing PayServe features and documenting bugs, customer feedback, and improvement requests.
- Support the preparation of weekly project status reports for management.
- Identify project delays or customer concerns early and escalate them appropriately.
- Build positive, professional, and long-term relationships with customers.
- Must have a Bachelor's degree in either Project Management, Information Technology, Business Information Systems, Business Administration, Engineering, or a related discipline.
- One to two years of relevant experience. Strong interns and recent graduates with evidence of responsibility and initiative are encouraged to apply.
- Excellent written and spoken English. Strong Kiswahili communication skills are also important.
- Strong organisation, coordination, follow-up, and time-management skills.
- Confidence communicating with customers and different professional stakeholders.
- A positive, solutions-oriented attitude and willingness to learn.
- Ability to remain calm, respectful, and dependable when projects become demanding.
- Strong attention to detail and commitment to completing assigned tasks.
- Basic proficiency in Microsoft Excel or Google Sheets, Word or Google Docs, email, and presentation tools.
- Ability to understand technology and explain it to non-technical users in simple language.
- Willingness to attend customer sites and support implementations when required.
TECHNICAL KNOWLEDGE THAT WILL BE AN ADVANTAGE
You are not expected to be a software developer. However, familiarity with any of the following will be helpful:
- SaaS platforms or property-management systems.
- Project-management tools such as YouTrack, ClickUp, Trello, Jira, Asana, or Monday.com.
- Customer-support, ticketing, CRM, or help-desk systems.
- Software testing and bug reporting.
- Mobile applications, web applications, APIs, or system integrations.
- Digital payments, M-Pesa, smart meters, IoT devices, accounting systems, or access-control solutions.

Within your first few months, you should be able to:
- Keep project plans, action trackers, and documentation consistently updated.
