We are looking for a proactive Facility/Admin Officer to ensure our office runs smoothly, safely, and efficiently. The role involves coordinating facility maintenance, managing vendors and service providers, maintaining office supplies and equipment, supporting workplace safety, and providing general administrative support to ensure a functional and well-organized work environment.
Key Responsibilities
Facility Management & Maintenance: Coordinate facility upkeep and maintenance activities across the company's office locations, ensuring timely repairs, preventive maintenance, and servicing of HVAC, plumbing, lighting, and office equipment.
Vendor & Contractor Relations: Source, negotiate, and manage contracts with external service providers (e.g., security, cleaning, catering, IT hardware maintenance, and office suppliers) to ensure quality service delivery within budget.
Inventory & Asset Management: Monitor and replenish office supplies, pantry items, and stationery. Maintain an accurate up-to-date asset register of office furniture and equipment.
Fleet Management & Maintenance: Assist the Facility Manager in monitoring fleet operations, maintenance schedules, vehicle documentation, and repairs to ensure vehicles remain safe, compliant, and available for business operations.
Workspace & Health/Safety: Maintain a safe, clean, and ergonomic work environment. Ensure compliance with health, safety, and fire regulations, and act as the primary point of contact for building management.
Administrative Support: Assist with onboarding logistics for new hires (desk setup, access cards, and equipment allocation), manage incoming/outgoing mail and couriers, handle fleet/fleet logistics and meeting room bookings when needed.
Document & Record Keeping: Maintain orderly administrative records, process facility-related invoices, and assist the finance team with expense tracking and budget reporting for operational costs.
Cleaning & Housekeeping Supervision: Coordinate and supervise cleaning and housekeeping activities across the company's office locations, ensuring consistent standards of cleanliness, hygiene, and orderliness. Monitor cleaners' attendance and performance, coordinate cleaning schedules and supplies, and promptly address any identified deficiencies.
Requirements
Candidate must be living in Lagos State.
Bachelor's degree in Business Administration, Facility Management, or a related field.
3 - 4 years of relevant experience in facilities management, office administration & corporate services.
Experience coordinating vendors, contractors, maintenance activities, and office operations.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience using digital workplace tools.
Exceptional organizational and time-management abilities, strong problem-solving skills, and a service-oriented mindset.
Clear verbal and written communication skills with the ability to coordinate effectively with diverse teams and external vendors.
