Approving Time-Off Requests

When Time Off is enabled, requests are approved by an employee's reporting manager, or by Admin or HR. Approval requires the Time Off capability (platform.time_off) for your organization.

Who can approve

  • Only Manager, Admin, or HR roles can approve or reject a request at all, an Employee role never can, and nobody can approve their own request.
  • Admin and HR can review and act on requests across the organization.
  • A current limitation worth knowing: the check that a Manager is specifically that employee's own reporting manager, rather than any Manager in the company, is not currently enforced behind the scenes. In practice this means a Manager role can technically act on a request outside their own team, treat this as a trust boundary your organization manages by convention today, not one the system enforces for you yet.

Receiving requests

  • Employees submit from their Time Off area
  • New pending requests surface in your team time-off views and dashboard summaries
  • The dashboard shows a pending team-leave count so you know when action is needed

Reviewing a request

  1. Open Team Time Off (team requests) or the specific request
  2. Check the employee, leave type, start and end dates, day count, reason, and any notes
  3. Watch for coverage conflicts across your team; team leave summary and team stats views help you see who else is out

Approving or rejecting

  • Set the decision to Approved or Rejected
  • You may attach a comment; include a short reason on rejections
  • Approving reduces the employee's balance for that leave type and marks the request Approved
  • Rejecting sets the status to Rejected and keeps the record for history

Recording leave for someone Admin and HR can record leave directly for an employee. Such entries are created already approved, which is useful for logging absences after the fact.

At scale

  • Use team requests, team stats, and the team leave summary to manage volume
  • Review the approval chain for a request when you need to confirm who is responsible

If Team Time Off is missing Confirm that you are set as the employee's reporting manager (or that you have an Admin/HR role) and that the Time Off capability is enabled for your organization.
