Onboarding templates help standardize the new hire experience with structured checklists and tasks. Templates can be used for both pre-onboarding and onboarding phases, with seamless transition between stages.
Creating a Template
- Navigate to Onboarding > Templates (or Pre-Onboarding > Templates for pre-onboarding templates)
- Click "Create Template"
- Enter template details:
- Name: Template name (e.g., "Standard Onboarding", "Developer Onboarding")
- Description: What this template covers
- Category: Template category for organization
- Stage: Onboarding stage (Pre-Onboarding, First Day, First Week, First Month)
Adding Tasks For each task, specify:
- Title: Task name (e.g., "Complete HR Forms", "Set Up Workstation", "Upload ID Document")
- Description: Detailed instructions
- Owner: Who completes it (Employee, Manager, HR, or Admin)
- Task Type: Regular task or Document Upload (automatically renders file input in candidate/employee interface)
- Due Offset: Days from onboarding start (0 = first day, 7 = end of first week)
- Document: Link to required documents or resources
- Link: External URL if needed
- Sort Order: Order in which tasks appear
Task Types
- Employee Tasks: Completed by the new hire (forms, training, setup)
- Manager Tasks: Completed by the manager (introductions, equipment setup)
- HR Tasks: Completed by HR (paperwork, access provisioning)
- Admin Tasks: System or administrative tasks
- Document Upload Tasks: Special task type that automatically renders file upload inputs. Documents uploaded during pre-onboarding are automatically linked to the employee when they transition to onboarding.
Template Management
- Clone Templates: Duplicate existing templates to create variations
- Edit Templates: Update tasks, descriptions, or timing
- Activate/Deactivate: Control which templates are available
- View Usage: See how many employees have used each template
- Bulk Assignment: Assign templates to multiple candidates/employees at once
Pre-Onboarding vs Onboarding Templates
- Pre-Onboarding Templates: Used for candidates before their start date. Include tasks like document collection, offer letter signing, and initial paperwork.
- Onboarding Templates: Used for employees after they start. Include tasks like system access, training, and team introductions.
- Templates can be created separately for each phase or combined for a seamless experience.
Best Practices
- Create role-specific templates (e.g., Developer, Sales, Operations)
- Include a mix of tasks across different owners
- Use document upload tasks for required documents (ID, certificates, offer letters)
- Set realistic due dates based on task complexity
- Link to knowledge hub resources for easy access
- Test templates before assigning to ensure completeness
- Consider creating separate pre-onboarding and onboarding templates for better organization
