Key Responsibilities
Recruitment & Onboarding:
- Draft job adverts, post roles, screen CVs and coordinate interviews.
- Prepare offer letters, employment contracts and background checks.
- Run onboarding for new staff documentation, orientation, tools.
Employee Records & HR Administration:
- Maintain accurate, confidential personnel files for all staff across three branches.
- Track leave, attendance, probation dates, confirmations and contract renewals.
- Prepare employment letters, confirmations, references and other HR correspondence.
- Coordinate the appraisal cycle and keep performance records for each staff member.
- Follow up with line managers on reviews, targets and documented feedback.
- Flag performance issues early and support the Management in handling them properly.
Payroll Support & Statutory Compliance:
- Prepare monthly payroll input , attendance, leave, deductions, allowances for accounts.
- Ensure statutory obligations are met and filed on time (PAYE, pension, NSITF, ITF, NHF as applicable).
- Keep company registration and staff-related statutory documents current.
- Manage office supplies, utilities, vendors and service providers for the Head office.
- Support administrative coordination with the branches.
- Maintain company documents, licences and renewals.
Staff Welfare, Discipline & Internal Coordination:
- Serve as first point of contact for staff HR enquiries.
- Handle disciplinary documentation, queries and grievances following due process.
- Coordinate staff meetings, trainings and internal communication.
Qualifications & Experience
- Bachelor's Degree or HND in Human Resource Management, Business Administration, Industrial Relations, Psychology or a related field.
- 2 - 4 years' experience in an HR or HR/Admin role, preferably in an SME.
- Working knowledge of the Nigerian Labour Act and statutory obligations (PAYE, pension, NHF, ITF, NSITF).
- Practical payroll experience.
- Competent with Excel, Word and Google Workspace.
- CIPM student membership, certification, or active progress toward it is an advantage.
- Experience in a multi-branch or healthcare/technical business is an advantage but not compulsory.
- Discreet, able to handle confidential staff and salary information properly.
- Highly organized, with genuinely accurate record-keeping.
- Firm but fair; able to hold staff to standards without creating friction.
- Clear and professional in written communication.
- Proactive, follows up and closes matters without reminders.
- Sound judgement, and willing to escalate rather than improvise on sensitive matters.
