  • As part of our commitment to delivering an exceptional experience to our pupils, parents, visitors and other stakeholders, we are seeking a warm, articulate and highly professional Front Desk Officer to join our team.
  • The Front Desk Officer will serve as the first point of contact for parents, visitors and other stakeholders and will play an important role in projecting a positive image of Pinefield Schools. The successful candidate must demonstrate excellent communication and customer service skills, maturity, discretion and the ability to remain calm and professional in a busy school environment.

Key Responsibilties

The successful candidate will be responsible for:

  • Welcoming and attending to parents, pupils, visitors and other stakeholders in a warm, courteous and professional manner.
  • Managing the school's reception area and ensuring that it remains organised, presentable and welcoming at all times.
  • Receiving, screening and directing telephone calls and enquiries appropriately.
  • Responding to general enquiries and providing accurate information about the school within the scope of the role.
  • Receiving and appropriately managing incoming correspondence, parcels, deliveries and other items.
  • Maintaining accurate visitor records and ensuring compliance with the school's visitor management and access control procedures.
  • Promptly notifying relevant members of staff when parents, visitors or other stakeholders arrive for appointments.
  • Directing parents and visitors to the appropriate departments or members of staff.
  • Receiving and documenting enquiries, concerns and complaints before escalating them to the appropriate officer in line with school procedures.
  • Maintaining accurate front desk records, logs and administrative documentation.
  • Supporting communication between parents, staff and relevant school departments.
  • Assisting with authorised pupil collection and release procedures where required, while ensuring strict compliance with school safeguarding protocols.
  • Maintaining confidentiality regarding pupils, parents, staff and school information.
  • Supporting the implementation of emergency, health, safety and safeguarding procedures.
  • Providing administrative support to the wider school administration team as required.
  • Carrying out any other reasonable duties assigned by Management.

Qualifications and Experience

Candidates must meet the following requirements:

  • A Bachelor's Degree from a reputable A-list university with a minimum of Second Class Upper Division (2:1) in Business Administration, Mass Communication, Public Relations, Customer Service, or a related discipline.
  • A minimum of 3 years' relevant experience in front desk operations, customer service, reception, administration or a similar role.
  • Previous experience in a reputable school, educational institution, hospitality organisation or structured corporate environment will be an added advantage.
  • Excellent verbal and written communication skills.
  • Strong customer service and interpersonal skills.
  • Professional telephone etiquette and the ability to communicate confidently and courteously.
  • Proficiency in Microsoft Office applications and other relevant digital administrative tools.
  • Good organisational and time management skills.
  • Ability to manage multiple enquiries and responsibilities in a busy environment.
  • High level of discretion and ability to maintain confidentiality.
  • A professional and presentable appearance.
