We are seeking a professional, organized, and customer-focused Front Desk/ Admin Operations Officer to join our client's architectural firm. The successful candidate will be responsible for managing the front desk, handling administrative duties, coordinating office operations, attending to clients and visitors, and providing general administrative support to ensure the smooth running of the office.
The desired candidate must have experience in front desk, administrative, office operations, or a similar role, preferably within an architectural, construction, engineering, or professional services environment.
- Welcome and attend to clients, visitors, and guests professionally.
- Manage incoming calls, emails, correspondence, and general enquiries.
- Maintain an organized and professional reception area and office environment.
- Schedule meetings, appointments, and coordinate calendars where necessary.
- Provide administrative support to architects, management, and other team members.
- Prepare, organize, and maintain company documents, records, and files.
- Handle incoming and outgoing correspondence and deliveries.
- Assist with the coordination of meetings, presentations, and office activities.
- Monitor office supplies and coordinate replenishment when necessary.
- Liaise with vendors, service providers, clients, and other external contacts.
- Assist with basic procurement and administrative processes.
- Maintain accurate records of office activities, expenses, and administrative transactions.
- Support day-to-day office operations and ensure administrative procedures are followed.
- Perform other administrative duties as assigned by management.
- Bachelor's Degree/HND in Business Administration, Office Administration, Management, or a related field.
- Minimum of 2 - 4 years of experience in front desk, administrative, office operations, or a similar role.
- Excellent communication, interpersonal, and customer service skills.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
- Good telephone etiquette and professional appearance.
- Strong attention to detail and ability to maintain accurate records.
- Ability to work independently and effectively as part of a team.
- Must be proactive, well-organized, courteous, and professional.
- Ability to handle confidential information with discretion.
