The Executive Secretary provides high-level administrative, secretarial, and operational support to the Managing Director and Executive Management.
The incumbent acts as the primary point of contact for internal and external stakeholders, managing complex schedules, confidential correspondence, board documentation, and executive communications with absolute professionalism and discretion.
Responsibilities
Manage and coordinate complex executive calendars, appointments, meetings, and travel itineraries.
Prioritize incoming meeting requests and ensure the Managing Director is adequately briefed and prepared for all engagements.
Organize executive meetings, prepare board or management agendas, and take accurate meeting minutes for follow-up actions.
Draft, edit, and format professional executive correspondence, memos, letters, reports, and official company documentation.
Screen incoming emails, phone calls, and mail, routing inquiries to appropriate departments and handling routine correspondence independently.
Serve as a professional liaison between the Executive Office, internal departments, clients, contractors, and external partners.
Maintain secure physical and digital filing systems for confidential executive documents, contracts, policies, and reports.
Track the progress of executive directives, action items, and departmental reports to ensure timely completion.
Coordinate travel arrangements, hotel bookings, and logistics for executive travel and corporate events.
Manage office supplies, equipment, and administrative needs for the Executive Office suite.
Maintain a polished, professional, and welcoming environment for high-profile visitors and guests.
Requirements
4 to 5 years of proven experience providing secretarial or administrative support at senior management or executive levels.
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Fast and accurate typing skills with exceptional command of business English and grammar.
