Noreta Constructions is seeking a highly organised, proactive, resourceful, and discreet Executive Assistant to provide comprehensive professional and personal support to the Managing Director.

The ideal candidate will be an excellent communicator and problem-solver who can manage competing priorities, anticipate executive needs, coordinate effectively with stakeholders, and ensure that assignments and action points are followed through to completion.

This is a hands-on executive support role that requires flexibility, discretion, willingness to travel, and the ability to handle occasional personal errands and assignments on behalf of the Managing Director.

KEY RESPONSIBILITIES

  • Manage the Managing Director's calendar, appointments, meetings, and daily schedule.
  • Coordinate meetings, prepare agendas and supporting documents, take minutes, and track action points.
  • Draft and manage professional correspondence, reports, presentations, and other executive documents.
  • Screen and prioritise requests, communications, invitations, and matters requiring the Managing Director's attention.
  • Liaise professionally with employees, clients, contractors, consultants, vendors, business partners, and other stakeholders.
  • Track instructions, deadlines, commitments, and deliverables and proactively follow up with responsible parties.
  • Assist the Managing Director in monitoring projects, priorities, and key business activities.
  • Conduct research and prepare summaries, reports, trackers, and briefing materials as required.
  • Coordinate domestic and international travel, including flights, accommodation, transportation, itineraries, and related logistics.
  • Travel with the Managing Director for business meetings, project/site visits, conferences, events, and other engagements when required.
  • Undertake authorised travel independently on behalf of the Managing Director where necessary.
  • Handle confidential business and personal information with the highest level of discretion.
  • Assist with personal errands, appointments, reservations, purchases, and other authorised personal assignments when required.
  • Perform other reasonable executive support duties assigned by the Managing Director.

REQUIREMENTS

  • Bachelor's degree/HND in Business Administration, Management, Communications, Social Sciences, Law, or a related discipline.
  • Previous experience as an Executive Assistant, Personal Assistant, Administrative Executive, Office Manager, or similar role.
  • Previous experience directly supporting a Managing Director, CEO, Founder, or senior executive is an advantage.
  • Experience within construction, engineering, real estate, property development, or a related industry is an added advantage.
  • Excellent written and verbal communication skills.
  • Strong organisational, time-management, and follow-up skills.
  • Excellent attention to detail and ability to manage multiple priorities.
  • Strong initiative, judgement, and problem-solving ability.
  • High level of professionalism, integrity, confidentiality, and discretion.
  • Proficiency in Microsoft Office and Google Workspace.
  • Must be willing and available to travel as required.
  • Must be flexible and comfortable with occasional changes to working schedules based on executive engagements and travel.

COMPENSATION & BENEFITS

  • Salary is eligible for review after six (6) months, subject to satisfactory performance appraisal and management approval.
  • HMO coverage upon successful completion of the six-month probationary period and confirmation of employment.
