Job Description

We are looking for:

  • We are seeking an experienced and innovative Executive Assistant to provide high-level administrative, scheduling, and coordination support to executive leadership, ensuring smooth day-to-day operations of the executive office.

Responsibilities

What will you do:

  • Uphold the highest standards of professionalism, discretion, and confidentiality in all interactions and communications.
  • Provide comprehensive administrative and strategic support to senior executives, ensuring efficient management of priorities, schedules, and business activities.
  • Manage executive calendars, appointments, meetings, and travel arrangements to maximize productivity and ensure effective time management.
  • Prepare, review, and coordinate executive correspondence, reports, presentations, briefing materials, and other business documentation.
  • Organize and facilitate executive and Board meetings, including agenda preparation, minute-taking, action tracking, and follow-up on key decisions.
  • Serve as the primary liaison between the executive office and internal / external stakeholders, fostering strong professional relationships and effective communication.
  • Coordinate logistics for meetings, conferences, business events, and travel, ensuring seamless execution and stakeholder satisfaction.
  • Maintain accurate records, files, and confidential information in compliance with organizational policies, governance requirements, and data protection standards.
  • Monitor and follow up on executive action items, projects, and strategic initiatives to ensure timely completion and achievement of objectives.
  • Anticipate executive needs, proactively resolve issues, and recommend process improvements to enhance operational efficiency and business effectiveness.

Qualifications

What you bring:

  • Bachelor's Degree in Business Administration, Secretarial Studies, or a related field (required for Senior Specialist level); OND / HND acceptable for Specialist level with relevant experience.
  • Relevant administrative or executive-support certification is an advantage.
  • 5 years Prior experience supporting executives in a fast-paced, corporate or financial-services environment preferred.
  • Exceptional organizational, planning, and time management skills with the ability to manage multiple priorities effectively.
  • Proficiency in Microsoft Office 365 Suite, including Word, Excel, PowerPoint, Outlook, and Teams.
  • Strong verbal and written communication skills, with the ability to engage and influence diverse stakeholders.
  • Demonstrated expertise in executive calendar management, travel coordination, and meeting administration.
  • Ability to handle confidential and sensitive information with discretion, integrity, and professionalism.
  • Strong problem-solving, decision-making, and stakeholder management capabilities in a fast-paced environment.
  • High attention to detail, adaptability, and the ability to work under pressure while maintaining accuracy and quality
